OrgSync to Engage System Transition

As you may be aware, this summer we migrated from OrgSync to Engage as our web-based student engagement management system. We are excited to announce that GW Engage is now live and available for use by students and student organizations!  

This web page contains important information about accessing the system, some required next steps, and some options for learning more. Please read it in full, as there are a number of action items that will result in your organization going inactive if not completed.

ACTION ITEMS

Please work with your student organization to complete the following:

1. Log in! To log in to GW Engage, visit go.gwu.edu/gwengage. Use your [email protected] email and associated password. If you encounter any difficulties, contact us. 

2. REQUIRED BY 9/13 - Fall Registration: Because officer positions and other organizational profile items did not migrate over automatically, we are requiring that every organization update their profile information and officers through a fall registration process. Organizations that fail to complete this process will be considered inactive. Here’s a guide to registration in Engage. If you don’t have access to complete this process but believe you should have that access, please contact us. 

3. REQUIRED BY 10/18 - Fall Advisor Meeting: All registered student organizations must complete a Fall Advisor Meeting in order to remain registered and retain eligibility for funding, space reservations, and more. This meeting serves as an orientation to available resources and provides information about policies and processes that are critical to every organization. 

  • If your organization has an assigned staff advisor: Schedule time with that staff member to hold the Fall Advisor Meeting.
  • If your organization works with the Staff Advisor Team: Hold your Fall Advisor Meeting at the Student Organization Resource Desk anytime during our drop-in hours.

4. Add Organizational Events: Add your organizational events into Engage by following this guide. Note that events with alcohol are registered via this process. Here’s a guide to adding events. 

5. Note Your Organization’s Advisor: If you’re not sure who your organization’s staff advisor is, you can find that information in your Organization’s portal on GW Engage, under roster. 

6. Org Requirements: Familiarize yourself with the 2019-2020 student organization requirements. We outline them all here.

ELS Engage Trainings: We will also be offering a number of trainings on GW Engage (ELS credit-eligible). View the ELS schedule here. 

Engage Online Support: Engage boasts a powerful library of online guides and videos, as well as an online chat feature and phone number. If you are having trouble with GW Engage or want to learn more about a feature, consider searching the Engage Support library for assistance. 

Student Org Resource Desk: Our Student Organization Resource Desk is open Monday-Friday, 11am-5pm and available for drop-in student organization support with Engage or other organizational questions and issues. 

 

We are excited for the new features and capabilities that GW Engage will bring our community of student organizations. This year will be a learning process and we ask for your patience, flexibility, and grace as we go through this change and learn together. What is Engage?

Engage is a web-based student engagement platform that provides tools and resources around student engagement and participation in activities outside the classroom. This summer, Engage will replace OrgSync as GW’s student engagement platform.

Although the layout will look different, Engage will retain nearly all of the OrgSync tools to which organizations have become accustomed. Engage will also bring new capabilities to our campus, including mobile event check-ins, organization elections, rank-choice voting, and enhanced event planning tools. In addition to providing critical tools to student organizations, Engage also offers individual students the ability to document their own co-curricular experiences and develop a portfolio of involvement, including organization memberships, event participation, and leadership positions.

The Transition

The last day to access or update OrgSync will be announced.  

Timeline and Important Dates

  • Now- July 7: Keep Using OrgSync and maintain up-to-date information in advance of the migration. Note that the deadline to submit spending requests is May 20. Any spending needs after that date must go through your Assigned Staff Advisor or the Staff Advisor Team ([email protected]).
  • July 7: Last day to access or update information in OrgSync. Between May and July, GW IT will be working to prepare the technical aspects of the Engage system.
  • July 8: OrgSync goes offline
  • July 8-9: Vendor migration of data from OrgSync to Engage
  • July 17-19: GW campus administrators attend Engage Conference in Baltimore
  • July 22-August 2: GW campus administrators work with Engage staff to complete training, complete set-up, and test new platform
  • August 2-August 9: GW campus administrators develop guides and training materials
  • Mid August: Engage GW available to campus community!

What information will automatically migrate to Engage?

Much of the information currently existing in OrgSync will be automatically transferred to Engage, including:

Organizational Portal Information:

  • Membership Rosters
  • People and Positions
  • Current and past events
  • Event attendance data (swipes)
  • Forms and form submissions
  • Documents and files
  • Photos albums
  • Budget information, including current budget as well as records of past budget requests for visibility into historic information

Individual Information:

  • Current memberships
  • Current and past event attendance

What information will not migrate to Engage?

OrgSync websites will not migrate and Engage does not include a website builder tool. Currently, our records indicate that less than 10% of our student organizations utilize the OrgSync website builder tool, so we hope that the loss of this feature will be of minimal impact. For those organizations that are impacted, please feel free to be in contact with us at [email protected] to discuss alternatives. In the coming months, we hope to provide more information to student organizations about website builder tools.
